Keep fee-earners working, settlements moving and client information protected.
When practice software slows down, PEXA is unavailable or a security question lands, the problem should not fall back to a partner. We support 5 to 30-staff law firms across the Northern Beaches and Lower North Shore, with one team handling the IT around your legal software and suppliers.

Keep the firm moving when software or a supplier gets in the way.
Your fee-earners should not spend billable time waiting on a vendor queue. We own the IT side, coordinate with the software provider and keep the next action clear.
Keep fee-earners out of vendor queues
We handle accounts, sign-ins, Microsoft 365 integration and device performance around LEAP, Affinity, Smokeball and FilePro.
Give settlement day a fallback
Secure sign-ins and a written outage plan mean the team knows what to do when PEXA or the Online Registry is unavailable.
Send client files to the right person
Secure sharing controls who receives a matter file, where it is stored and how long it remains available.
Use familiar tools without weakening confidentiality
Outlook, Word, Teams, SharePoint and Copilot are configured around legal privilege and client information.
Have evidence ready for an audit
Access records, two-step sign-in and separate trust-account permissions show who could do what and when.
Recover matter data when something fails
Offsite copies, tested restores and a written recovery plan reduce the time spent rebuilding under pressure.
Compliance and what your insurer expects
Most small firms don’t fail compliance audits, they fail incident drills. The work is in the controls that don’t get tested until something goes wrong: MFA, backups, audit logs, retention, and the response plan if a client trust file is compromised.
We align to the NSW Law Society Practising Standards 2024 (including the cloud-storage updates), the cyber-insurance pre-conditions every insurer asks about, and Privacy Act and NDB obligations. We package the renewal answers, with evidence, into a broker-ready report. Included in every managed retainer.
Local, hands-on, and straight with you.

IT for law firms, answered.
Can you handle a practice-management migration from Affinity to LEAP (or LEAP to Smokeball)?
We handle the IT side of a practice-management migration, user accounts, network changes, Microsoft 365 integration, the device side, end-user setup on the new app, and the data security through the cutover. The actual data conversion (matters, contacts, accounting history) is run by the vendor’s onboarding team or a specialist conversion partner, that work is theirs, not ours. We project-manage the IT side as your single point of contact, so your fee-earners only have to talk to one party.
How do you handle PEXA outages or NSW Online Registry downtime mid-settlement?
PEXA and the NSW Online Registry both have unplanned outages, and you can’t prevent them. What you can do is have the alternate paths ready, paper settlement, manual lodgement, or rebooked settlement window, documented so the conveyancer doesn’t have to figure it out under pressure. We help you write that runbook before you need it. We’re not PEXA support; we’re the team that makes sure the right people know what to do when PEXA support is the bottleneck.
What does cyber insurance for a small law firm require?
Insurers vary, but the questions are the same: MFA on every login, regularly tested backups, endpoint protection, security awareness training, and a documented incident-response plan. We help you get all of them in place, and document the answers in the format insurers want at renewal time. The renewal questionnaire is included in every Vaelis managed retainer.
Has the NSW Law Society Practising Standards 2024 update changed anything for small firms?
Yes, there’s tightened guidance around cloud storage of client information, third-party access, and the controls a small firm should be able to demonstrate to the Law Society. Most of it is good practice already, but the documentation expectation has stepped up. We help you put the technical controls in place and write the one-page “how we manage client information” doc the Society’s increasingly asking for.
Is it safe to use Microsoft Copilot or ChatGPT for first-draft client correspondence?
It depends on the plan and how it’s set up. Microsoft Copilot inside your Microsoft 365 tenant is generally safe, your data isn’t used for training. Free ChatGPT is not appropriate for client data. ChatGPT Team / Enterprise and Claude for Work both have proper data-handling agreements that allow client data, with the right configuration. We help you pick the right plan and write a one-page policy your team can follow.
Do you support firms outside the Northern Beaches?
Onsite visits we keep to the Northern Beaches and Lower North Shore, Manly through Chatswood. Remote support we run anywhere in Sydney. We don’t take on firms outside that geography we can’t reach in person within an hour, because most law-firm IT problems benefit from someone in the room.
How does pricing work for a 6-person law firm?
Managed support is priced per person per month. Foundation is $95, Strategic is $150 and Fortified is $279, ex GST. Microsoft 365 Business Premium is supplied separately. Published managed pricing assumes a 12-month agreement. Practice-management migrations and significant infrastructure projects are quoted separately.
